Looking for a PA & Administrative Assistant that will administrative support and client services for senior executives and their team(s). the administrative assistant will work independently, completing many tasks within tight timelines. The incumbent demonstrates: excellent customer service, a detailed knowledge of organizational operations, procedures, and personnel policies

Major Responsibilities:

Performs various administrative duties such as preparing documents for managers & other partners in the unit/department including extensive management of calendars, copying, scanning, typing.
Handle confidential and non-routine information, applying extreme confidentiality and sensitivity in the dissemination of this information. Demonstrate a high degree of discretion when handling said information containing private or secure information for executives.
Responsible for routine operational/administrative work
Schedules and coordinates meetings, conference calls, travel arrangements for managers or other partners in the area. Must have the flexibility to make last minute changes and communicate those changes in an organized manner
Provide comprehensive travel planning (international and domestic) for executives and their team
Provide administrative support including extensive management of calendars, copying, scanning, typing and arranging FedEx and courier services.
May be responsible for data input, data processing and data verification.
May track or monitor expenses for the department.
Maintains electronic and paper records.
Greet or assist clients or vendors.
Assists in the preparation and processing of documents.
Provide back-up support to members in Executive HQ in Herzliya.
Perform related duties as assigned.

Requirements

2+ years of experience as an Administrative Assistant - a must
Basic knowledge of office procedures is required
Basic PC knowledge and typing skills are required
Good oral and written communication skills are required
Professional experience providing executive level administrative support in a corporate setting
Ability to respond quickly
